Each year, Gen Con and its housing partner Q-Rooms work with local lodging companies in the Indianapolis metro to reserve the most discounted housing possible for the upcoming convention. This housing is then offered to attendees via a Housing Portal. Given the increasing popularity and enthusiasm for Gen Con, each year, housing is in increasingly high-demand, particularly in the downtown area surrounding the convention center. Gen Con’s Housing Portal isn’t your only means of securing lodging in and around Indy, but it does provide the most convenient, affordable option for thousands of attendees.
This year, Gen Con has made some important updates to the Housing Registration process to make it more convenient for attendees. To participate in Housing Registration, you must purchase a badge. In 2017, there will be two weeks between the opening of Badge Pre-Registration on Sunday, January 29 at noon (Eastern) and Housing Registration on Sunday, February 12, beginning at noon (Eastern).
There also is one new process detailed below that attendees should be aware of, as well as other key points to know before securing your room for Gen Con 50.
*New for 2017* Updated Randomized Access
To make reserving housing more convenient for attendees, Gen Con has implemented a new Housing Portal process in 2017. At midnight (Eastern) between Friday, February 10 and Saturday, February 11, Gen Con will randomize all customers that have purchased attendee-type badges. Attendee-type badges include 4-Day, all single day, Trade Day, and Press.
Gen Con then will assign all eligible customers an access time, based on their randomized queue order, for the opening of Housing Registration starting at noon (Eastern) on February 12. Each eligible customer will receive a corresponding automated email with their specific access time on Saturday morning, February 11. This system will provide attendees with at least 24 hours of advanced notice for their unique access time. Attendees should not be discouraged by a later starting time than in prior years, as the process will be intentionally paced differently in 2017.
After randomization of all attendee-type badges, a countdown timer for your unique access time will appear on your “My Housing” page on gencon.com. Attendees again should note that with this new process, access to the Housing Portal will be spread out over a longer span of time during the opening of Housing Registration than in past years. For instance, downtown housing still should be available after 2 pm (Eastern).
Important note: all customers that purchase an attendee-type badge after Housing Portal access times have been assigned will be placed at the end of the Housing Registration queue.
The first customer in-queue on Sunday, February 12 will gain access to the Housing Portal at noon (Eastern) with subsequent customers receiving access thereafter. Customers with attendee badges can reserve one room for every 1-2 badges purchased. Rooms will be reserved one-at-a-time, in real-time.
Nightly Minimum Stays
Nightly minimum stay restrictions again will be in-effect for all hotels in the downtown area. Reservations for hotels in the downtown area must consist of three or more consecutive dates and must include the night of Saturday, August 19. Nightly minimum stay restrictions will remain in place throughout Housing Registration. Reservations at suburban hotels are not subject to nightly minimum stay restrictions.
Disability Compliant ADA Rooms Restricted from Online Booking
ADA rooms have limited availability and cannot be booked online. Individuals needing ADA rooms must wait until they have access to the Housing Portal through their “My Housing” page, then call 317-688-1323 for booking assistance. Because call center representatives must verify callers’ housing eligibility and portal access, we recommend signing into your account and making sure your “Make Reservation” button is active before dialing the call center for assistance.
Credit Card Expiration Dates
Important Note:To secure your hotel reservation, you must use a credit card that expires after the 2017 convention. The system will not allow you to reserve a room with a credit card that expires before the convention ends.
Still Have Questions?
If you have questions about housing, you can get them answered at the Housing Q&A forum page or by emailing firstname.lastname@example.org. Please ask your registration and account questions as early as possible, as Customer Service will become extremely busy during the opening of Badge Pre-Registration and Housing Registration. Customer phone support during Housing Registration will be restricted to individuals having valid reservation acknowledgements.
